MINUTES OF ANNUAL GENERAL MEETING, AT THE 7th PANGBORN SENSORY SCIENCE SYMPOSIUM, MINNESOTA- USA, AUGUST 2007


Wednesday August 15th, 1 pm

In attendance: Garmt Dijksterhuis, Hal MacFie, Chris Findlay, Tom Carr, Mostapha Qannari, Pascal Schlich, Pieter Punter, Per Brockhoff, Guillermo Hough (taking notes), Jerome Pages.

The Chairman of the Society, Per Brockhoff, welcomed all those present at the meeting. He also mentioned that it was honor to have succeeded previous Chairman Garmt Dijksterhuis, who together with Hal MacFie had done so much towards bringing the Sensometrics Society to its prominent position in the field. These words were received by an applause of approval.

Minutes of previous meeting, 2006, held in As- Norway, were approved.

Treasurer's report: Tom Carr presented the report. There has been a slight decrease in membership from 118 in 2006 to 94 in 2007. There is still a considerable surplus so the finances of the Society can be considered sound. A motion by Hal MacFie to move most of the funds that are currently in the Dutch account to the UK account so that they can thus earn interest was approved. New membership fees were discussed and the following were approved: 110 Euros for the inclusion of the on-line subscription to FQP, and 120 Euros for the inclusion of the on-line + print subscription to FQP. The Treasurer's report was approved and the Chairman recognized the important and well done job Tom Carr had done.

There was a suggestion for membership fees to be paid every two years instead of the present yearly frequency. Although it would be simpler administratively, it was considered that some members might find it difficult to budget a two-year fee. The suggestion was not approved.

It was suggested that members of the Sensometrics Society should receive some sort of discount in their inscription fees for the Sensometrics Meetings. This was approved and decided that the treasurer Tom Carr, together with the organizer of the next meeting Chris Findley, would work out an adequate discount to be applied for the 9th Sensometrics Meeting.

Hal MacFie, who is editor of FQP, mentioned that Elsevier are worried because the impact factor for the Sensometrics Special Issue of FQP is relatively low. In order to improve this impact factor the following motions were approved: Tormod Naes' editorial to the 8th Sensometrics Special Issue would include references to each paper. Also Keynote speakers would be asked to draw up review papers which would significantly increase the impact factor of the issue.

Election of new officers.
The new Committee was constituted as follows:

Chair: Per Bruun Brockhoff, DK, continues till 2010
Vice-Chair: Mostapha Qannari, F, re-elected, till 2008
Honorary secretary: Guillermo Hough, Arg, continues till 2010
Honorary treasurer: Tom Carr, USA, continues till 2010
Ordinary members:
Garmt Dijksterhuis, NL, continues till 2008.
Hal MacFie, UK, continues till 2008.
Hildegarde Heymann, USA, re-elected till 2009.
Pieter Punter, NL, re-elected till 2009.
Pascal Schlich, F, re-elected till 2009.

The changes will be formally made by Garmt at the Dutch chamber of commerce, which is where the society is formally registered.

It was agreed that minor conflicts in the rules of the Society related to duration of officer periods would be cleared up at the Biannual General Meeting to be held at the 9th Sensometrics Meeting- July 2008. The secretary Guillermo Hough would circulate a proposal previous to the meeting. It was also agreed that Guillermo Hough would contact the web-master of the Society to cut out the rules from the website.

Chris Findlay informed the meeting about the 9th Sensometrics Meeting to be held in Ontario- Canada from the 20-23 July 2008. Highlights of his presentation were:

  • There is available accommodation at the Brock University at a value of $50 a night.
  • Social activities have been thought of: a barbecue on Sunday 20th, dinner at a winery on Monday 21st and a conference dinner at the Table Rock Café. Niagara falls are a 15-minute drive away.
  • There are no overhead costs for projectors.
  • Plenary speakers: the plan is to have three, one on each day. The organizers have some ideas, but welcome suggestions.
  • Grants for students: at the last meeting 7200 euros were provided by the Society to facilitate students' participation. It was agreed that this is a reasonable figure to count on for the 9th Meeting. An effort will be made to advertise these grants through the sensory e-group, etc.

Future Sensometrics Meetings:

  • 9th Sensometrics Meeting in July 2008 (Ontario, Canada. Chris Findlay, Compusense/Isabelle Lesschaeve, Brock University).
  • 10th Sensometrics Meeting in 2010 (Netherlands. Pieter Punter, OP&P Product Research/Garmt Dijksterhuis, WUR/RUG)
  • 11th Sensometrics Meeting in 2012 (Rennes, France. Jerome Pagés)

These venues were confirmed. It was agreed to invite applications for future meetings during the 9th Sensometrics Meeting.

It was agreed that the Sensometrics Society should hold a Mini-symposium at the next Pangborn Symposium. To organize this a workshop/meeting should be held at the 9th Sensometrics Meeting; Chris Findlay will see how it can be fitted into the program.

Hal MacFie and Anne Halsted will review the possibility of including sensometric tutorials on the Society's website.
